Types of Customer Alerts and Equipment Rental Software

With our equipment rental software, you can manage alerts for customers by subscribing to events or actions related to their orders that generate emails.

Alerts and Customers

All customers whose email IDs are recorded in the system in Customers’ listing page and have ‘Send customer email alerts’ option enabled under ‘Contact Information’ in Customer details page, will receive email alerts subscribed by the admins. Customers will receive emails based on an admin’s selected actions of interest, for example, order rent out, booked by the customer, etc. Customers will receive emails for actions they’re involved in.

Custom Notifications for Customers

Send email-based reminders for specific events to customers, choose which alerts get sent out, and customize email content for each alert type. Any changes made to Customer alerts will be effective for all customers. These alerts can be overridden by any other administrator.

Alerts for Orders

Customers can use our online rental software to book and rent out orders effortlessly. Give your customers the best service possible through regular alerts and empower them to play an active role in keeping assets’ and rental orders’ information up to date. Following table details what each type of order email alert means for our customers in our app:

Order placed on web store Email alert sent when a customer places an order via webstore. Learn More Customer(s) involved in the action.
Order booked * This alert serves to inform a customer that an order has been booked for specified duration. Items are also mentioned. Customer(s) involved in the action.
Order rented out * This alert serves to inform a customer that an order has been rented out for him/her by User A for specified duration. Items are also mentioned. They can log in to make payment for the order. Customer(s) involved in the action.
Order completed * This is used to inform a customer that an order has been marked completed by User A. It also includes payment and rented out items’ details. Customer(s) involved in the action.
Order payment received * Email alert to notify a customer about charged payment made by him/her for an order using XYZ method of payment. Customer(s) involved in the action.
Order payment pre-authorized * Email alert to notify a customer that he/she has pre-authorized a certain amount for Order # 1 through Credit Card. Learn More Customer(s) involved in the action.
Order cancelled **

** Template cannot be customized

This is used to inform a customer that an order booked or placed by him/her has been canceled or cannot be fulfilled. This applies for web orders as well. Customer(s) involved in the action.
Order cancellation request rejected **

** Template cannot be customized

Email alert sent when a customer requests to cancel an order but is rejected by an admin. Customer(s) involved in the action.
Orders due today Email alert to inform a customer that an order rented out to him/her is now due for return. They must return the items and make any pending payment for the order. Customer(s) involved in the action.
Orders due in — days Email alert to notify a customer that one or more orders are due for return by him/her after specified number of day(s), e.g. Order #10 due in 1 day. Customer(s) involved in the action.
Orders overdue Email alert to inform a customer on which orders are overdue for return. They must return the items listed and make any pending payment for the order. Customer(s) involved in the action.

* Order printout attachments will be sent with alerts marked with an asterisk (*). Note that this is only applicable when the email template is set to ‘Default’. Learn More on customizing Order PrintOuts.

Alerts for Bookings

When you’re dealing with a relatively large pile of orders, bookings are inevitable. You’d want to reserve items to make sure they’re available for a customer when needed. Our equipment rental software helps you pen down conflict-free bookings so that you have the order complete when you rent it out. EZRentOut helps you alert customers with the upcoming bookings through email alerts. Types of customer alerts for bookings are listed below:

Bookings starting today This alert serves to inform a customer that one or multiple orders booked for him/her starts today. Customer(s) involved in the action.
Bookings starting tomorrow This alert serves to inform a customer that one or multiple orders booked for him/her starts tomorrow. Customer(s) involved in the action.
Bookings starting in — days This alert serves to inform a customer that one or multiple orders booked for him/her starts after a specified number of days, say, in 1 day. Actions can be taken on bookings e.g. cancellation or request for cancellation. Customer(s) involved in the action.
Order booking cancelled Email alert to inform a customer that an order booked by him/her has been canceled. This applies for web orders as well. Customer(s) involved in the action.

Send Email Alerts to Customers using your Company URL

By default, the emails regarding an order return date, or a booking starting date are sent from the EZRentOut domain. Using our rental management software, you can choose to send these emails to customers from an email address that belongs to you or your company. You can enable this feature from Settings → Add Ons → System Generated Emails. Learn More
